Background and Challenges
The client is a consumer-goods distributor in South China carrying snack-food and daily-care brands, serving several hundred retail stores and sub-wholesalers. Order handling ran entirely on manual work: reps took orders by phone and chat, back-office staff re-keyed them into Yonyou ERP, and every afternoon was spent importing, reviewing and invoicing batches.
The costs were familiar: re-keying errors led to wrong shipments; frequent promo pricing made misquotes routine; Excel and ERP told different stories, so monthly reconciliation ate up nearly three days — and management had no live view of channel stock.
Our Approach
We deployed Youjianyi, our B2B ordering system, as the storefront for downstream stores — complete with live pricing and stock — and connected it to Yonyou ERP through its open APIs. Items, customers and price lists are now maintained in a single place, while sales and return orders flow back into ERP automatically.
The rollout ran in three steps: two weeks of master-data cleansing and mapping rules, a pilot with 30 stores, then a phased launch across the full customer base, keeping a manual ordering channel for exceptional bulk deals.
Results
- Every order is placed by the store and synced into ERP automatically; manual spreadsheet handling is gone (sample data, to be verified);
- Wrong-shipment complaints caused by re-keying dropped to virtually zero, and returns are processed noticeably faster (sample data, to be verified);
- Monthly reconciliation fell from about 3 days to half a day, making month-end close calmer (sample data, to be verified);
- Management tracks orders and stock by store, region and SKU in real time, so promo planning finally has numbers to stand on.
